What FoolProof keeps, and for how long
Your sales, orders, refused sales, ID checks, consent records, delivery and pickup logs, purchase records and audit trail are kept for as long as your account exists — and never less than three years.
Steps
- Every record below is kept for the life of your account, and at least three years from the day it was made — the period Alabama asks for delivery records (r. 20-X-9-.05) and purchase records (§ 28-3A-25(a)(5)).
- Kept: orders and every change to them, register sales, refunds and voids, refused sales, ID checks, marketing consent records, delivery and pickup records, purchase orders and receiving, tastings and their pour log, and the audit trail of setting changes.
- ID checks keep the result, birth date and age, expiry, issuing state, ID type, how it was checked, the cashier, the last four digits and a one-way code — never the customer's name, full ID number or address.
- Nothing in FoolProof deletes these records from a live store. Closing your account (offboarding) stops sales and keeps the records.
- Download them any time: Admin → Export your data for everything, or the CSV export on Refused Sales, ID Checks and Orders → Export pickup log.
- Time-clock punches are kept for the life of your account (federal law asks two years), and tips and their payouts at least three years.
- A driver's detailed GPS route is kept for your Admin → Delivery setting (90 days unless you change it) after the delivery; the delivery record keeps where it started and ended for three years.
- When you delete a customer at their request, their profile goes, and the records above stay, no longer linked to them. Customers → Privacy requests keeps the log of every request and how it was answered.
